Inventory & Multi-Store

See what you can still sell.At each shop and godown.

QABILL does not collapse your inventory into one vague total. Each location shows what is physically on the floor, what is promised to open orders, what is on the road, and what is held back.

Workflow

The inventory lifecycle. From godown intake to store fulfillment.

  1. Location-Based Ledgers

Business counters and storage godowns hold distinct on-hand, reserved, and damaged balances without blending numbers.

  2. Controlled Stock Transfers

Transfer notes deduct inventory from the dispatch godown and hold it in transit, preventing duplicate commitments.

  3. Receipt, Audit & Restock

The receiving location audits what physically arrived; broken or short pieces route to unsellable or write-offs.

Computed from confirmed sales and stock-movement costs.

  1. Available, not just on hand

On hand minus reserved, per location. Stock held for active orders is not offered twice.

  2. Every carton in between

Transfers record what left, what is on the road, what arrived, and what was lost on the way.

  3. Margin from the same records

Gross margin is computed from confirmed sales and the cost of the stock that moved.

Sixty cartons leave the godownfor the shop.

While they are on the road, neither place can sell them. When the shop receives the load, damaged cartons are restocked, held as unsellable, or written off, using the setting you chose. The transfer stays partly received until every unit is accounted for.

A transfer stays inside one GSTIN. Stock moving to a different GSTIN is a sales invoice, not a transfer. QABILL records the LR number and what was short or damaged. It does not decide a carrier’s liability.

Operational Doubts

Questions trade businessesask about inventory.

Can staff at one store see stock availability at other branches?

Yes. Authorized staff can view inventory balances across all shops and godowns in real time. However, counter staff cannot sell or bill stock physically sitting in another location without raising an approved stock transfer.

How does QABILL handle pack sizes, inner units, and loose pieces?

Every item has a primary base unit (such as pcs, meters, or kg). You can configure multiple selling packs (such as 1 Carton = 1,000 pcs or 1 Box = 50 pcs) with automatic conversion factors so sales and purchases deduct the exact base inventory.

What happens if goods are damaged during a godown transfer?

The receiving branch records the actual quantity received. Any damaged or missing units can be routed to unsellable stock, returned to the source, or written off, keeping the transfer balance transparent until resolved.
