Distribution & Logistics
Stock at a location.Then a transfer, then a shipment.
QABILL does not add a complex distribution suite. Multi-location businesses use verified locations, transfer orders, goods receipts, and the fulfillment Queue to keep inventory truthful across every depot.
EssentialTransfers and multi-location operations are included on Essential and Professional.
Operational Sequence
The distribution flow. From hub inward to regional customer gate.
Central Godown Intake
Purchase orders and goods receipts intake bulk shipments into your primary distribution warehouse.
Inter-Branch Stock Transfer
Transfer orders deduct inventory from the hub and lock it in transit, keeping counts truthful across stores.
Route Dispatch & Challans
Generate warehouse pick lists, delivery challans, and assign transporters with LR numbers for local delivery.
Stock Movements
Four movements, one stock position
Replenish
A purchase order and a goods receipt put stock into a location. Receiving more than the open quantity is blocked. A short delivery leaves the purchase order partially received.
Move
A transfer order moves stock between locations on the same GSTIN. Source stock is deducted. In transit, the quantity is available at neither location.
Receive
The destination records what arrived. Lost units are recorded on receipt. Damaged stock is restocked, held as unsellable, or written off, as you set it.
Dispatch
A customer order ships from a business location. The shipment can carry a transporter, LR number, driver and loaders. The Queue shows what is still to pack or mark shipped.
LR tracking records the trip.It does not settle the carrier.
LR tracking is the lorry receipt and delivery status recorded on the shipment. If a transfer arrives short or damaged, the discrepancy is logged upon receipt. Transit loss is also a dedicated report. QABILL records the audit trail; it does not settle carrier freight claims.
A transfer cannot cross GSTINs. Stock moving to a different GSTIN is a sales invoice. The transfer summary, LR tracking and transit loss reports read these records after they are confirmed.
Operational Doubts
Questions distribution businessesask about transfers and freight.
Can stock transfers take place between locations with different GSTINs?
A transfer order in QABILL moves inventory within the same GSTIN. If goods move between different GSTINs (such as an interstate branch transfer under GST law), it must be recorded as an inter-branch tax invoice.
How does QABILL handle stock damaged or lost during transit?
When the destination branch receives the transfer, the operator enters the actual quantity received. Any damaged or missing cartons can be directed to unsellable stock or written off, keeping accounting transparent.
Can field sales representatives book orders against a specific godown?
Yes. When booking a sales order, the sales rep can choose which godown or store will fulfill the order. Stock is immediately reserved at that location so other counters cannot double-sell it.
