Introduction

This policy applies to the QABILL website and the QABILL services made available through it. That includes creating an account, using QABILL, starting a free trial, subscribing to a paid plan, using Storefront where it is added to an account, using Communication Wallet services, contacting QABILL, and interacting with QABILL communications.

It describes the kinds of information that may be collected, how that information may be used, how it may be shared, and choices you may have. You should read it together with the QABILL Terms of Use.

Optiwizer Technologies Private Limited ("Optiwizer", "we", "us" or "our") operates QABILL, a cloud-based business billing and operations platform.

Registered Office: 21-D, Block PD, Pitampura, New Delhi – 110034, Delhi, India.

Privacy enquiries: legal.qabill@optiwizer.com

Information We Collect

The information we collect depends on how you use the website and the service. The categories below describe the types of information handled by QABILL.

Account and billing information. When you sign up for or manage a QABILL account, we collect your name, business or store name, 10-digit mobile number (verified by one-time password), email address, password (stored in hashed form), and subscription, plan, and capacity details. When you purchase a paid subscription or add-on, we also collect buyer billing details such as billing name, billing address, state, and GSTIN (where provided) to issue tax invoices.

Business information you enter. To use QABILL, a business may enter operational information into the service. That information may include customer details, vendor details, products and items, sales, purchases, inventory, payment-related records, GST or other business information, and other operational records. Where a business uses Storefront, catalog details, store contact information, and customer order or enquiry records entered through that online store are part of the business information handled for that business.

That business information is entered and controlled by the business using QABILL. It is separate from the account and billing information QABILL collects to operate the website, accounts, and support. See Business Data below.

Usage and technical information. The public marketing website does not load third-party analytics or advertising scripts. When you use the QABILL application or submit public forms (such as signup verification or contact enquiries), our servers automatically process technical metadata including IP address, browser or device user-agent string, request timestamps, audit and change logs, rate-limiting counters, and diagnostic or error logs needed to keep the service secure and reliable.

Communications. We receive information when you contact QABILL through the website contact form, submit an enquiry, request support, or otherwise communicate with us. The website contact form collects your name, business name, mobile number or email address, business type, and message, and either delivers the enquiry to our support team or opens your email application addressed to our support inbox.

How We Use Information

Information is used to:

  • Create, verify, and manage accounts
  • Provide the QABILL services and features you use
  • Process payments, subscriptions, renewals, tax invoices, and plan capacity
  • Provide customer support and respond to enquiries
  • Maintain, troubleshoot, and improve the service
  • Maintain security, verify identity (including via OTP), and prevent fraud, misuse, or abuse
  • Send transactional and lifecycle notices, such as trial, renewal, billing, and security alerts
  • Deliver communications you request, including through the Communication Wallet when available
  • Comply with applicable legal, tax, and regulatory obligations

We do not use personal information collected through QABILL for third-party behavioral advertising or profiling.

Business Data You Enter Into QABILL

Users may enter business and operational information into QABILL, including information relating to their customers, vendors, products, transactions, and inventory.

The business using QABILL acts as the data controller (or Data Fiduciary under applicable Indian law) for the customer, vendor, and operational data it enters, and remains responsible for deciding what information it collects and ensuring that its use of the service is lawful.

Optiwizer acts as a data processor in respect of that business data and processes it only as needed to provide, secure, and support the QABILL service in accordance with the agreement governing the account and applicable law.

Communication Services

QABILL uses transactional messaging providers (such as WhatsApp, SMS, and email gateways) to send one-time passwords (OTPs) and account or billing notifications. In addition, QABILL's upcoming Communication Wallet is designed to let businesses send WhatsApp, SMS, and Email messages using a prepaid wallet balance rather than a separate monthly subscription plan.

When communication capabilities are used, recipient contact details, message content, template parameters, and delivery status logs are processed and transmitted through third-party communication providers so the requested message can be delivered and, where applicable, the prepaid wallet balance can be updated.

Cookies

The public QABILL marketing website does not set first-party tracking cookies and does not include third-party analytics or advertising cookies.

When you sign in to the QABILL application, the application uses strictly necessary first-party cookies for session authentication and cross-site request forgery (CSRF) protection. Underlying hosting infrastructure may also use standard technical cookies or headers required to route traffic securely.

The Cookie Policy describes the website's use of cookies and similar technologies in more detail.

Third-Party Services

QABILL relies on trusted third-party service providers to operate parts of the website and the service. Depending on the features you use, these include:

  • Cloud hosting and database infrastructure (including Vercel for web hosting and cloud database providers)
  • Payment gateways (such as Razorpay and Zoho Payments for processing subscription and add-on payments)
  • Communication and email delivery providers (such as Resend for transactional email and Gupshup, MSG91, or Twilio for WhatsApp and SMS verification or messaging)
  • Optional third-party integrations that you choose to connect to your account (such as Shopify)

These providers process information only as necessary to perform their services for QABILL or as directed by you when you enable an integration.

Information Sharing

Information may be shared in the following situations:

  • With infrastructure, payment, and communication service providers that support the website or the QABILL service
  • Where required by applicable law, regulation, tax authority, court order, or legal process
  • To investigate, prevent, or act against misuse, fraud, or a security issue
  • In connection with a merger, acquisition, financing, or sale of assets, if one occurs
  • When you ask us to share it or otherwise authorise it (for example, by enabling an integration or sending a message to a customer)

We do not sell your personal information or your business data to third parties, and we do not share it for third-party cross-context behavioral advertising.

Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, use, alteration, or disclosure. These measures include HTTPS/TLS encryption in transit, cryptographic hashing of account passwords, httpOnly and CSRF-protected session cookies, role-based access controls within tenant accounts, encryption of stored integration credentials, and rate limiting on sensitive endpoints.

No method of transmission over the internet or electronic storage is completely infallible, and you remain responsible for keeping your sign-in credentials confidential.

Data Retention

We retain account and business information for as long as your account remains active and as reasonably needed to provide the services, maintain business and tax records, comply with applicable legal obligations, resolve disputes, enforce agreements, and maintain security.

As described in our Refund & Cancellation Policy, QABILL may delete an inactive account and its associated business data after 3 months of inactivity. Subscription tax invoices and payment records are retained for the period required under applicable Indian tax and accounting laws.

Your Rights

Subject to applicable law (including the Digital Personal Data Protection Act, 2023 in India), you may have rights regarding your personal information, including the right to: access information about your personal data; request correction or updating of inaccurate data; request erasure of personal data that is no longer necessary for the purpose for which it was collected (subject to legal retention requirements); withdraw consent where processing is based on consent; and register a grievance regarding our handling of your personal data.

You can update many account and business details directly inside your QABILL account settings. To exercise your privacy rights or submit a grievance, email legal.qabill@optiwizer.com from the email address associated with your account. We may verify your identity before acting on a request. If you are a customer of a business that uses QABILL, please direct your request to that business first, as they control the customer records in their account.

Children's Information

QABILL is a business platform intended for use by individuals who are at least 18 years of age and legally competent to contract. It is not directed at children under 18, and we do not knowingly collect personal information from children.

International Transfers

QABILL is operated from India. Some of the cloud infrastructure, hosting, email, or communication providers we use may store or process information on servers located in India or in other jurisdictions. Where information is processed outside India, we rely on reputable service providers and take reasonable steps to ensure that data is handled securely and in accordance with applicable Indian data protection laws.

Account Responsibilities

If you use a QABILL account, you are responsible for:

  • Keeping your account credentials secure
  • Making sure the information you give QABILL is accurate
  • Managing who can access your account
  • Deciding what business and customer information you enter into the service

Changes to This Policy

This Privacy Policy may be updated from time to time. When we publish an update, we will revise the "Last updated" date at the top of this page. Where a change is material, we will provide reasonable notice through the website, inside the application, or by email to account administrators.
