Trading & Commercial Supply

Buy it, see it as available. Then sell it with real margins.

A trading business in QABILL uses unified purchase and sales documents on the same inventory ledger. Stock availability reflects what the next sales order can genuinely promise, and gross margin is audited against real purchase costs.

EssentialPurchasing, inventory tracking, and gross margin reporting are on Essential and Professional.

Operational Sequence

The trading sequence. From supplier intake to customer margin.

  1. Inbound Purchase & Intake

Issue purchase orders to suppliers. When goods land, goods receipts intake verified stock into the godown.

  2. Customer Quote & Booking

Quotes calculate customer tier discounts and convert to sales orders, reserving inventory at that counter.

  3. Invoiced & Margin Audited

Issue the GST invoice with UPI QR, collect payments, and review true gross margins computed from actual cost.

Document Linkage

The purchase-to-sale cycleon one inventory ledger.

Buy (Inward)

  1. Raise a purchase order. Until it is confirmed, stock and the vendor balance do not move.
  2. Receive on a goods receipt. Stock is added at the location when receiving is set to the goods receipt.
  3. A short receipt leaves the order partially received. More than the open quantity is blocked.
  4. The vendor bill posts the payable, capped at the open quantity when it is linked.

Sell (Outward)

  1. Available stock is on hand minus reserved, at that location.
  2. The sales order takes the customer’s group rate. A quote can still be edited.
  3. Confirmation reserves stock, when that setting is on. Dispatch takes it out, unless you leave stock on confirmation.
  4. The invoice posts the receivable once. Payment is allocated against it.

Margin is the latest purchase cost. Not a target you type.

The gross margin report uses the latest purchase cost of the stock that moved. It does not replace the selling rate. If you need a different rate for a customer, that is a customer group, or an edit on the quote line. QABILL does not invent a landed-cost selling formula on the sales order. A goods receipt line can show landed cost on the purchase side.

Operational Doubts

Questions trading companiesask about commercial flow.

How does QABILL calculate gross margin when supplier prices fluctuate?

QABILL calculates gross margin using the actual purchase cost of the inventory that physically moved for that transaction. It does not use a theoretical markup formula typed on the sales line.

Can a trading company book sales orders against incoming supplier shipments?

Yes. You can see incoming purchase orders in real time. Sales quotes can be prepared and approved, and once the goods receipt confirms stock arrival, the order can be dispatched immediately.

How are vendor price differences or damaged goods handled?

You can issue a Purchase Return (Debit Note) linked to the vendor bill. This automatically credits your accounts payable and deducts returned stock from that location.

Sell only what the location can promise.
